How do meeting room coins/credits work?
In order to book a meeting room or conference room through the member portal, you need meeting room coins. Each Norrsken member with a standard membership receives 2000 meeting room coins each month. This translates to 10 hours of Glass House bookings or 5 hours of Conference Room bookings. Each member with a Lite Membership receives 600 meeting room coins. The meeting room coins will be automatically deducted from your account when you make a room booking.
Coins cannot be rolled over to subsequent months. Coins will be automatically deducted from your monthly total in the member portal when you book. If you run out of coins, bookings in Glass House rooms will be charged at 200 SEK (plus VAT) per hour and bookings in Conference Rooms will be charged at 400 SEK (plus VAT) per hour.
How many meeting room coins do I have?
- With our standard membership, you will receive 2000 meeting room coins per month. This translates to 10 hours of Glass House bookings or 5 hours of Conference Room bookings.
- With a Lite membership, you will receive 600 meeting rooms coins per month.
If I use my allowance of coins, what happens?
If you have used all of your meeting room coins for the month and proceed to make more room bookings, your company will be billed for any additional usage.
How do I know how many coins I have used and how many that I have remaining?
You can see how many meeting room coins your team has left when you log into the member portal and click on "Credits" in the "Billing" section.
Can I give my coins to a team member?
Not specifically. All of a team’s coins are pooled together, eg. a team of 3 people will receive a total of 6 000 coins/month that all team members can access when booking. If Sara has more meetings than others in the team and would normally use more than 2 000 coins in a month, Sara can continue to book meeting rooms without charge as long as the team still has coins remaining.
What happens if I book a meeting room one month ahead?
If you make a booking in April for using a meeting room in June, the coins will be used from your June allowance. Until the point that the coins are used, they remain ‘unaccounted for’. If you need to cancel a booking, be sure to do so more than 1 hour before your booking starts to avoid using any coins or being charged.
Why do we use meeting room coins?
With increased demand for meeting room spaces - in part due to our changing digital working practices in 2020 - we have committed to finding a system that benefits the meeting rooms usage for all members.
The meeting room coins system aims to ensure greater fairness in the use of meeting rooms at Norrsken House with shared responsibility for our community. By our analysis, 95% of teams have previously not exceed the 2 000 coins/month while 5% do due to booking more meeting room time slots than they are actually using. With the usage of meeting rooms coins we want to increase meeting room availability by around 10% with little to no effect on our members.
